AXYMS Privacy Policy

This policy explains what AXYMS collects, how we use it, and how we handle data connected to the AXYMS portal and authorized business integrations. Last updated: July 9, 2026.

1. Who We Are

AXYMS provides software and data infrastructure that helps companies make business information clean, current, well-defined, and available to authorized employee AI sessions and operational workflows.

This Privacy Policy applies to the public AXYMS website, the AXYMS portal, and related services that link to this policy.

2. Information We Collect

We collect information needed to operate, secure, and support the service, including:

  • Account information, such as name, email address, company, role, and login identifiers.
  • Authentication and access data, including session information, tenant membership, and authorization state.
  • Business data customers choose to connect or provide, such as documents, records, operational data, accounting data, billing data, support context, and related metadata.
  • Integration data from services a customer authorizes, including QuickBooks Online through Intuit and payment or subscription data through Stripe where enabled.
  • Usage, device, log, and diagnostic data, such as pages visited, feature use, IP address, browser type, request timestamps, errors, security events, and performance metrics.
  • Communications with us, including email, support requests, implementation notes, and feedback.

3. How We Use Information

We use information to:

  • Provide, maintain, secure, and improve AXYMS services.
  • Authenticate users and enforce tenant, role, and permission boundaries.
  • Connect approved integrations and process customer-authorized data flows.
  • Operate customer support, onboarding, billing, service monitoring, and incident response.
  • Generate customer-requested outputs, reports, dashboards, recommendations, and workflow evidence.
  • Meet legal, compliance, security, and fraud-prevention obligations.

We do not sell personal information. We do not use customer business data to advertise to end users.

4. Service Providers and Processors

AXYMS uses third-party service providers to operate the service. These providers process information only as needed to provide their services to AXYMS or to a customer that has authorized an integration.

  • Google Cloud, including hosting, databases, storage, logging, security, and Firebase authentication infrastructure.
  • Intuit, when a customer authorizes QuickBooks Online or related Intuit services.
  • Stripe, for billing, payment, subscription, and customer-authorized finance workflows.
  • Other infrastructure, security, communications, and support providers used to run AXYMS services.

5. Customer Business Data

Customer business data remains the customer's data. AXYMS uses it to provide the service, follow customer instructions, maintain security, and meet legal obligations. Customers are responsible for ensuring they have the rights and permissions needed to connect data sources and invite users.

6. Data Retention

We retain information for as long as needed to provide the service, maintain auditability, comply with legal obligations, resolve disputes, and enforce agreements. Retention periods vary by data type, customer configuration, and operational need. Customers may request deletion or export of customer business data subject to contractual, legal, security, and backup constraints.

7. Security

AXYMS uses administrative, technical, and organizational safeguards designed to protect information, including access controls, tenant boundaries, encryption in transit, cloud security controls, monitoring, and reviewable operational workflows. No system can be guaranteed perfectly secure.

8. Sharing and Disclosure

We may disclose information:

  • To service providers and processors described in this policy.
  • To customer administrators and authorized users according to configured permissions.
  • To comply with law, legal process, or lawful government requests.
  • To protect AXYMS, customers, users, or the public from fraud, abuse, security threats, or harm.
  • In connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate protections.

9. Your Choices and Rights

Depending on your location, you may have rights to access, correct, delete, or restrict certain personal information. Customer administrators may also manage access to tenant data. To make a request, contact us at hello@axyms.com.

10. International Processing

AXYMS and its providers may process information in the United States and other locations where service providers operate. We take steps designed to protect information according to this policy and applicable law.

11. Children

AXYMS services are intended for business use and are not directed to children under 13. We do not knowingly collect personal information from children under 13.

12. Changes to This Policy

We may update this policy from time to time. The updated version will be posted on this page with a new last updated date. Material changes may also be communicated through the service or by email.
